The Caseflow Blueprint: automating the immigration law workflow on monday.com

Immigration firms run on details, deadlines, forms, signatures, case stages, client communication, and constant coordination across hybrid teams. Caseflow, built on monday.com and engineered by Workiflow, gives immigration attorneys a single operating system to manage every part of their practice with accuracy and speed.

"We need a single source of truth, and that's what Caseflow is."

Nadine Heitz

At Workiflow's practice management webinar, immigration attorney and Caseflow co-founder Nadine Heitz, alongside Workiflow's Misha Terron, walked a live audience through exactly what Caseflow is and how it works. Here's what you need to know.

/ 02

What is Caseflow?

Caseflow is a practice management template built on monday.com, designed specifically for the case types, terminology, and deadlines immigration law firms manage every day.

Nadine Heitz built the first version of Caseflow in 2020 for her own five-person immigration practice. Other attorneys wanted the same system but didn't want to build it themselves, so she partnered with Workiflow to turn it into a product.

The gap generic case management tools leave open

Most case management tools are built for the legal industry in general. Few are built for immigration law specifically.

The gap shows up fast. Generic systems don't have fields for I-94 dates, joint sponsors, or consular processing stages. Firms end up bolting on spreadsheets, sticky notes, and group texts to fill the holes. That patchwork becomes its own full-time job, especially for firms juggling in-office and remote staff.

Caseflow closes that gap by putting CRM, case tracking, task management, and deadline automation into one system that already speaks the language of immigration law.

Four ways this changes how your firm runs

1. Your intake process runs itself.

A client books a consultation through Calendly. That single action creates their contact record, triggers an intake questionnaire through JotForm, and opens a new deal in monday.com with zero manual entry from your staff.

2. Your deadlines stop depending on memory.

RFE due dates, biometrics appointments, and interview dates trigger automated reminders on a countdown: one month out, three weeks, two weeks, one week. Nothing falls through by accident.

3. Your case volume can scale without adding chaos.

Kyle Homstol of Global Mobility Partners tripled his firm's short-term visa caseload after moving document intake and status tracking into monday.com. Every case shows its exact stage, no more team leads hunting for updates.

4. Your admin workload drops sharply.

Homstol's invoicing process, converting foreign government fees into USD and entering them line by line into QuickBooks, used to take him 8 hours a day. With currency conversion and invoice generation automated through monday.com, it now takes 30 minutes to an hour.

Inside the system: boards, CRM, and case tracking

Contact board.

Every lead, client, or vendor is entered once. That record feeds every other board automatically, no re-entering the same name and email five times.

Deals board.

Track your contacts through the pipeline: consultation requested, booked, contract sent, signed, or declined. Services and fees (an E-2 visa, for example) attach directly to the deal.

Case boards, grouped by process.

The USCIS board covers every case type that moves through the same stages, case review, client signature, mailed, received, RFE, approved whether it's a fiancé visa or an I-130. The Court board tracks BIA cases, master calendar dates, and motion status. The Future Case board re-engages past clients automatically for renewals like the I-751 or N-400.

Task automation.

A single click loads a full task checklist onto a case. For example: Every step of a change-of-address request, assigned to team members with due dates already attached.

Inside Global Mobility Partners: how one firm tripled its capacity

Global Mobility Partners handles outbound U.S. immigration cases, which means invoices arrive in euros, Indian rupees, and other currencies that all need converting to USD before they can be billed.

Before automation, that conversion and entry process ate 8 hours of Kyle Homstol's day, every day. With Workiflow's integration, monday.com now pulls live currency conversion data, builds the line items automatically, and pushes the finished invoice straight into QuickBooks.

"It genuinely allowed us to handle three times the number of short-term visas as we did before."

Rolling out Caseflow at your firm

Start with the core system.

CRM, case boards, and dashboards are installed first. No integrations required to begin using it.

Train the full team together.

Caseflow includes a live training session for the whole firm, plus a written manual, so everyone starts on the same page.

Find your real bottleneck.

Don't try to automate everything at once. Identify the process eating the most time, invoicing, intake, contract generation, and scope that integration first.

Scope before you build.

Workiflow quotes integration hours in advance based on the specific software you want connected, so there's a clear plan before any work starts.

Add integrations at your own pace.

Calendly for meeting booking. JotForm for intake questionnaires. PandaDoc for contracts and e-signatures. QuickBooks for invoicing. Add them one at a time, or all at once, the system scales either way.

What this means for your practice

Caseflow doesn't require a development team or a technology background to run. It requires a clear picture of where your firm's time is going, and a system built to speak the language of immigration law from day one.

The firms that automate their intake, invoicing, and deadline tracking first are the ones that scale case volume without scaling headcount at the same rate.
